The Problem
The client reports that their overall sign-in process for each customer takes about 30 minutes or more, and involves a lot of waste and damage to the office resources.
The Barrier
This was quite a challenging project as I needed to consider
a) The technology factor: I had to research and find the most efficient technology that supports Signature and PDF maker while also being compatible with iPad.
b) I needed to find a system that is stable enough to be used about a 100 times a day.
c) Accessibility, which was a key factor considering that I needed a solution that can be easily used by anyone regardless of their language skills and how tech-savvy they are. This was especially important considering that the sign-in forms were often completed by the pregnant women who were often accompanied by their young children.
My Role
As a full stack UX designer & developer, I was responsible for complete design and creation of the product which included the following tasks:
• Researching the current users to understand the user behaviors and the potential problems during the sign-in process.
• Designing the entire UI
• Developing a system which can handle the entire process of paperless checking-in.
• Running some usability tests to ensure that the system works as expected.
User Research
My first stage involved collecting all the user data such as
• Testing the current system and understanding user pain points through paper form.
• Creating Personas to understand more about user desires & Needs.
• Analyzing & evaluating user data.
The results showed that:
• Clients take about 16 minutes on average to
complete the printed Sign-in sheet.
• Clients constantly make mistakes on the form
and scratch out their mistakes. Staff have to
constantly check with the client to make sure
they are reading the information correctly.
• It takes the staff about 14 minutes to transfer
each clients' information into company
database.
• Clients tend to complete t he sign-in sheet
while sitting on offices' bright colored
furniture and leave pen marks on the
furniture.
• Clients are often accompanied by their or
their family members' children, who need
constant adult supervision and can interrupt
the sign-in process.
• Client is spending over $1000.00 each month
on printer ink, paper, pen, etc.
Wireframing
With Initial research & findings, I moved to Wireframing to make sure the costumer understands how the new product works.
Design
After a few changes and the completion of the underlying UX, I had to focus on the product UI as I had to make sure that the design of the form follows the client's brand guidelines.
Development
Due to the client's limited budget and resources I moved on to developing the product. I used Html, Query mobile, CSS and PHP to develop the product.
Final StageProduct evaluation
We replaced the printed form with an interactive
application. As a result :
• The clients were able to complete the form
in 2 minutes or less and were able to focus
their attention on their families/children.
• The completed forms were instantly
submitted and saved in company's database,
allowing the staff to focus on more important
tasks.
• The client is now saving hundreds of dollars
spent on printer ink, paper, pen, etc. and is
running a more environmental friendly
business
• We also used the application design to enhance
company sales through presenting some offers and
promotions to the clients.
